SharePoint document management and scanning
SharePoint is already the document management system for many organizations on Microsoft 365. Its libraries handle storage, permissions, versions and retention well. Where SharePoint falls short is getting documents in: scanned paper arrives as files called scan0001.pdf, with none of the metadata that makes SharePoint searchable and its views, filters and workflows useful.
Scanning to SharePoint with metadata
SimpleIndex captures scanned and electronic documents, reads their index values with barcodes, OCR or AI, and uploads each one to the right SharePoint library with its metadata columns filled in. See SharePoint scanning in SimpleIndex.
- Metadata from the document itself: customer, account, date, document type, or any column your library uses.
- Lookups that fill the remaining columns from your database; see database autofill.
- Folder and library routing by document type or index value.
- Searchable PDFs, so SharePoint search finds the text inside scanned pages.
Planning SharePoint metadata
Decide your content types and metadata columns before you scan: a few required columns, such as document type and one key identifier, usually work better than many optional ones. Use choice or managed metadata columns for values that must be consistent. If you are moving an existing file share or archive into SharePoint, SimpleIndex can index and migrate those files too.
